We only collect the minimal information necessary for operations and strive to ensure that customers are informed about the data we collect, allowing them to opt out of specific services.

Information We Collect
In order to provide services, manage needs, maintain secure operation, and optimize functional experiences, we collect personal information that you actively provide or authorize during registration and service use, as well as personal information generated during service usage. Personal information includes basic information, biometric data, online identity information, financial information, communication details, browsing history, device information, and location data.
Permissions, such as contacts, precise location, camera, microphone, etc., are not enabled by default and will only be used in specific functions or services with your authorization. You can also revoke authorization at any time. Even with your authorization, we will only collect such sensitive permission information when necessary.
We collect and use your personal information solely for the following purposes outlined in this policy:
1. Registration for Individual Users
To complete account creation, you will need to provide the following information: your phone number or email address.
The information you provide will continue to be authorized for use throughout your service period. Upon account deactivation, we will stop using and delete the aforementioned information.
2. Registration for Team Users
We provide team administrators with the ability to create teams and independently manage the team and its invited members. The following personal information will be collected and used by the team administrator, who will decide the purposes and methods of processing this data. We will process this information solely based on the instructions from the team administrator and our agreement with the team, to provide the relevant services and functions.
a. Information related to your organization, including your name, profile picture, signature, background image, alias, position, contact information (email, phone number, etc.), workplace, job title, job level, and organizational structure relationships.
b. Audio and video files, communication information, and other content generated during your use of the service, related to team members within your organization.
c. Other information submitted during team management and operation processes, as well as information you need to submit.
3. Account Information
You can fill in or set up your profile picture, nickname, personal status, and other information according to your needs. The personal information you provide or set up will be displayed to other users.
4. Communication with Other Users
When you send text, images, audio, location, files, or other information through this product, these data will be temporarily stored on the server for transmission and display purposes. Once the information is received, the server’s storage records will be deleted immediately. To save space, information that has not been received for a long time will also be periodically cleaned.
5. Additional Services Based on System Permissions
When using this software, we may need to access certain permissions on your device to provide services. Please note that enabling any permission means you authorize us to collect and use the related personal information to provide corresponding services. Disabling any permission means you withdraw authorization, and we will no longer collect or use personal information based on that permission, nor will we be able to provide services corresponding to that permission. You can choose to refuse to enable these permissions or turn them off in your phone settings, which will not affect your use of other features:
○ Access Camera: To use the camera for scanning QR codes or reading photos in the camera to identify and display QR code content.
○ Access Local Storage: By enabling local storage read-write permissions, we can download images, audio, video, files, and other content from the product into your phone's storage, as well as upload local files from your phone (such as images, audio, video, and documents) to the product.
○ Access Photos: You can directly select photos or images on your phone to upload, send while communicating with other users, or upload to the product for scanning or changing your avatar.
○ Enable Push Notifications: You can enable push notifications to receive system messages. You can manage your push notification preferences or disable these notifications through the app or device settings.
○ Enable Microphone and Voice Recognition: You can use the microphone for voice input and output during short voice recordings or audio-video chats.
○ Device Information: Device identifiers (Android ID, MAC, OAID, IMEI, IDFA, etc.), application information (app crash information, notification switch status, etc.), device parameters, and system information (device type, model, OS, hardware-related info).
○ Network Information: IP address, Wi-Fi information, base station information, and other related data.
Information We Share With
a. Use of Third-Party Products and Services
When using products and services from the Small Mobile Office platform or third-party products, these services may request your relevant authorization and personal information. We will provide the necessary information to the relevant services based on your authorization. Please refer to the agreements or privacy policies of these products for details, where you can also withdraw authorization. If you are an authorized user, the customer administrator may share some usage data with the service provider.
b. Logging in and Binding Other Products
When you log into other products or services with your Small Mobile Office account, or bind it to a third-party account, the application will use the information you authorized, such as your name, profile picture, device information, and order information.
c. Authentication Services
When using identity verification functions, you may need to undergo real-name authentication to comply with legal requirements. During this process, the cooperating certification agency will need to use your real name, ID number, phone number, and facial information. Some of this information is sensitive; refusing to use it will affect the identity verification but will not affect your use of other Small Mobile Office features. This information will only be used for real-name verification and related legal purposes, and will not be used for other purposes without your explicit authorization.
d. Location Services
When using location-related services, location service providers (e.g., Amap) may use SDKs or other technologies to obtain your GPS and device information to return location data. Location information is considered sensitive data, and refusing to provide it will affect the location services feature but will not affect other functionalities.
e. Push Notifications
To support message push functionality, terminal device manufacturers (such as Huawei, Xiaomi, OPPO, VIVO, etc.) may use SDKs and other technologies to access your phone model, version, and related device information.
Children’s Privacy
Our products and services are primarily intended for adults. If you are under the age of 18, please read and agree to this privacy policy under the supervision of your parents or guardian before using our services. If we discover that a child under 18 has provided us with personal information without the consent of their parents or guardian, we will delete that information. If you are the guardian of a minor and have any questions regarding their personal information, please contact us through the contact details provided in this privacy policy. We will take the necessary steps to delete any relevant information we hold about the child.
Security
Regardless of where your personal information is stored, we are committed to maintaining its privacy and integrity. Our information security and access policies restrict access to our systems and technologies. We employ encryption and other technical measures to protect your data.
Unfortunately, despite the reasonable measures we have implemented and maintained to protect your personal information, transmitting information over the internet is not entirely secure. In the event of a personal data breach or other security incidents, we will activate our emergency response plan to prevent the escalation of the security incident and will notify you through push notifications, announcements, or other means.
Data Retaining Period
We will retain your personal information to fulfill the purposes described in this privacy policy. As required or permitted by law, we may retain your information for an extended period, such as for maintaining opt-out lists, preventing abuse, or for legal claims or litigation purposes. When your information is no longer necessary for legitimate processing, we will delete or anonymize your information from our database. At the same time, we will securely store your information until it is deleted.

You have the legal rights regarding the personal information we hold about you, as permitted by applicable laws and regulations. You can request access to or correction of the data we process about you.

Changes to This Privacy Policy
We may modify the privacy policy at any time and will notify you through service announcements or by sending emails. If the changes are significant and affect your rights, you will be notified at least 30 days in advance. However, if you have not verified your email address, you may miss important notifications. If you believe the changes to the privacy policy affect your rights, you may email us within 30 days of receiving the notification to terminate your use of our products or services. Once the privacy policy changes take effect, continuing to use our products or services will be considered as acceptance of the new privacy policy. Minor changes to the privacy policy will not be separately notified.
